We are seeking a Medical Records Specialist to join our team. This role is responsible for accurately organizing, managing, and securing patient health records in accordance with legal, ethical, and institutional standards. The specialist ensures that all medical documentation is up-to-date, complete, and accessible for healthcare providers, billing departments, and regulatory audits.
The position also supports the clinical and legal teams by retrieving records promptly, maintaining confidentiality, and ensuring compliance with HIPAA and healthcare data regulations. Additional responsibilities may include coding support, digital data entry, and quality checks within electronic health record (EHR) systems.
Job Description
- Report to the Case Manager (CM) for assigned cases, escalating to the Managing Attorney (MA) as needed.
- Request, receive, and review medical records, bills, and liens in a timely manner.
- Ensure client bills are paid on time or that clients understand their financial responsibility or liens until case resolution.
- Update and maintain key documentation such as the Medical Records Checklist (MRC), Medical Records Tracker (MRT), and Cost Ledger (CL).
- Review records upon receipt for accuracy and completeness.
- Provide timely updates to case managers via Glip and Filevine, with immediate updates for urgent cases.
Qualifications
- Experience in legal case management, administrative support in a law firm, or medical billing and records handling is highly beneficial.
- Familiarity with legal platforms such as Filevine and communication tools like Glip is a plus.
- Previous experience working with medical records, billing statements, and legal documentation is preferred.

- Ability to effectively report to Case Managers and escalate concerns to Managing Attorneys.
- Proficient in requesting, reviewing, and organizing medical records, bills, and liens while maintaining accuracy and confidentiality.
